How Secure is your information?
Almost every office today has one and most people don't give it a second thought. Perhaps the most popular piece of business equipment, the Multi Function Printer (MFP), or commonly called "copier", has become an integral part of day-to-day business operations. In a world where your personal and business information could be used by other individuals and organizations for malicious purposes, the need to protect that information and meet industry standards and government regulations has become vital to a company’s existence. So you have to ask yourself: “ Is my information truly secure?”
Is that MFP Leased?
Most businesses that upgrade or add MFP's opt to lease the equipment. During the term of the lease hundreds of thousands, if not millions, of documents are printed, copied and scanned on these devices.
At the end of that lease, the old machines are rolled out and new ones take their place. But what happens to the old MFP? Chances are the leasing company has sold these devices on the secondary market and may have created a huge problem for you without your knowledge. Did you just let thousands of documents walk right out the door? Chances are you did!
What do I need to Know?
All office equipment that have hard drives store an image of all data copied, faxed, or scanned. These images can be removed from the hard drive.
What is special about my equipment and how can it help me?
1. Lanier equipment stores images in a proprietary format. There is no program that you can download off the web to read the images. The machine in the CBS program is a Sharp that uses a linux based operating system, unencrypted, and not password-protected. Lanier equipment requires a special program to read the images. The images are stored but most programmers cannot read them. It uses a special proprietary software that is not shared with the public.
2. Lanier offers a optional accessory called The Data Overwrite Security System (DOSS), it overwrites data that is temporarily stored on the hard drive of digital Multifunctional Products by writing over the latent image with random sequences of 1's and 0's. This process makes any effort to access and reconstruct residual image data virtually impossible. See Data Overwrite Security System (DOSS) Brochure
3. U.S. Copy Inc. offers a service to replace your hard drive at the time of lease return.
Note: U.S. Copy Inc. recommends the DOSS or removal of the hard drive with all Lanier Equipment
What questions do I need to ask?
• Does the hard drive delete the files immediately after a successful print, scan or copy?
• At the end of the lease can I keep the hard drive or destroy it?
• Will the lease company provide documented proof that the Hard Drives have been cleaned?
If the answer is "NO" to any of these questions, then you have a very high risk of giving away private information on your business, employees or customers or violating government regulations.
